T2 Flex is the parking industry’s most robust, configurable parking operations software. Flex enables operations to manage and control every aspect of their parking, from permits to citations and everything in-between. However, there is a lot to learn within Flex, whether you’ve been using the software for a year or a decade. Below are six things you might not know Flex can do that can have a positive impact on your day-to-day workflows and your operation as a whole.
Asset Management
Flex has a very robust Asset Manager built in as one of the modules. It allows you to maintain a detailed record of assets owned by your department, including valuable information such as serial numbers, manufacturers, original cost, and purchase date. You can also assign these assets to a location and pull static reports on inventory. Additionally, you can manage work orders on your assets and report on open work orders, costs, and other valuable data. Asset Manager is enhanced by the T2 Field Services App, which provides your technicians with everything they need to plan, track, record, and manage their service workloads right from their mobile device.
Contract Parking
Contract Parking allows you to manage parking permits at a group or organizational level, rather than issuing permits one-for-one to individuals. For example, a group may be issued 75 permits, but under the terms of the contract only 35 of the permits will be used per day. The contract will specify the days of the week, times of day, and locations that the permits can be used, as well as how payment is collected if a parking patron exceeds the terms. Contract limits are enforced by T2 PARCS, monthly invoices can be paid through T2 FlexPort, and groups can manage their own permit distribution.
Waitlists
Flex can manage waitlists for popular permits or facilities. These waitlists can be set up as first-come, first-served or lottery style. Customers can request to be put on a list (or taken off a list) through FlexPort, and Flex will notify them when they are eligible to purchase a permit. Lists can be purged every year or remain indefinitely.
Permit Auto-Renewals
In the world of LPR – where no physical permit is required – it is particularly useful to be able to extend parking privileges for an additional month or year. With Flex, you can use a simple series of tasks to automatically renew permits. When a permit is close to its expiration date, a task runs to apply the new parking fee and send an email to the customer to let them know it’s time to renew their parking privileges. You can allow your customers to go online and make the payment, or you can run another task that creates a payment plan for payroll deduction.
Online Bicycle Registration
In addition to registering vehicles, you can require your customers to register bicycles as well. Using FlexPort, you can sell permits for bicycles or simply require individuals to complete a registration, just as you would do for a parking permit. You can allow your customers to attach photos as well. This is a great way to provide your department with a record of bicycles on campus in case of violations or theft.
Batch Update Records
Easily clean up your data or update large groups of items with Batch Update Records in Flex. Batch Update Records is a query-driven process. You can write off all citations older than a certain period of time, void all citations accidently written during an event, change the expiration date on a group of permits, expire a group of handheld notifications – or add a notification to several vehicles at once – and much more.
